FINANCE & ACCOUNTING ADMINISTRATOR

POSITION AGREEMENT

 

Title: Financial Accountant

Week Pay: R$4000.00 (Paid every 1st of the month)

 

Responsible to: Ino, Emma and Joanna

Purpose of Position: 

Manage and maintain the financial records of the organization. Ensure that the organization's financial statements are accurate, complete, and comply with generally accepted accounting principles (GAAP) and regulatory requirements. Responsible for recording financial transactions, reconciling accounts, and preparing financial reports, including balance sheets, income statements, and cash flow statements. Other responsibilities include managing accounts payable and accounts receivable, tracking budgets, processing payroll, organizing weekly/monthly reports for management, etc.. Assist in the preparation of financial forecasts and the development of financial strategies to support the organization's goals.

METRICS: 

  • 99.9% accuracy input accounting data into the accounting system
  • 100% of accounts are reconciled every month
  •  Maintain an average open invoices number to 6 or less

Role: Manage Accounts Payable and Receivable

 

Responsibilities:

  • Manage accounts payable by processing vendor invoices, preparing payments, and reconciling vendor statements
  • Manage accounts receivable by preparing invoices, posting payments, and following up on outstanding balances
  • Monitor cash flow and ensure timely payment of bills and collections of accounts receivable
  • Communicate with vendors and customers regarding any issues or discrepancies in invoices or payments

 

Role: Assist with Payroll Processing

Responsibilities:

  • Prepare & process Payroll on a weekly basis
  • Assist with processing payroll by maintaining employee records, calculating payroll taxes, and preparing payroll reports
  • Manage payroll functions with precision and punctuality
  • Ensure compliance with federal and state payroll regulations and laws
  • Communicate with office manager any employees with any payroll-related issues or questions

 

Role: Assist with Financial Planning and Analysis

Responsibilities:

  • Assist with financial planning and analysis by preparing budgets, forecasts, and financial models
  • Analyze financial data to identify trends, opportunities, and risks
  • Prepare financial reports and presentations to communicate financial information to stakeholders

 

Role: Maintain Financial Controls and Compliance

Responsibilities:

  • Maintain financial controls and compliance by ensuring adherence to accounting standards, policies, and procedures
  • Ensure compliance with federal and state tax laws and regulations
  • Assist with external audits by providing requested financial information and supporting documentation
  • Monitor financial risk and implement appropriate controls to mitigate risks

 

Inventory: 

  • Order inventory on a weekly basis
  • Analyze inventory rates to keep cost less than 1.8% or revenue

 

Miscellaneous:

  • Shop for insurance policies after every term ends 
  • Update insurance information 
  • Assist with HR duties
  • Generate reports for management
  • Assist with projects

Hard & Fast Rules

 

Expected Hours: 40 hours a week  (it’s subject to change)

  • Monday- Friday 8:00 AM to 5 PM

 

Lunch: 12:00 PM to 12:30 PM

15 minute Breaks: 10:00 AM-10:15 AM & 3:00 PM -3:15PM

Vacation Policy

  • After 6 months of employment you earn 5 vacation days, that can be taken every year. Every employee’s vacation year starts at the first of the calendar year and ends on the last day of the calendar year, vacation can not be taken within 6 months of each other.
  •  In addition to 5 vacation days, after 1 year of employment you earn 1 day of paid time off and you earn 1 PTO every year after that, up to 5 PTO days. When you run out of paid time off, you’re still eligible to take time off, but it’ll count as an unpaid leave of absence. You won’t receive any pay for this time off. 
  • Your vacation or PTO days can’t be carried over each year, meaning you will lose it if not taken. When you request time off, please notify your supervisor at least a month in advance. Work with them to plan accordingly for your upcoming time off from work.

 

Additional Paid Time Off: You will also get paid time off on your Birthday and for the following Holidays: Christmas, Thanksgiving, New Years, Independence Day. You have the option to use Independence Day and Birthday Paid day off as a floating PTO day. Meaning you can request them off with pay at any time of the year as long as you give enough notice. 

Please keep in mind that a paid time off is subject to supervisor approval. It’s best that you don’t request a day off when someone else of the office team has already and approved time off. 

Should your tenure ever be terminated for whatever reason, all benefits offered by the company, including PTO’s you have earned to the date of termination will be voided. 

 

Confidentiality Agreement

As an employee of the Company, you may have access to confidential and proprietary information about the Company, its clients and prospective clients, including but not limited to client lists, contact information, financial information, personal and sensitive information, business and residential operations and services, marketing efforts, and other sensitive information.

You are required to keep this information confidential and not disclose or make it available to anyone inside or outside of the Company, during or after your employment with the Company, without the Company's prior written consent. You also agree to not use any Confidential and Proprietary Information for any purpose other than fulfilling your duties as an employee of the Company.

Violation of this agreement may result in termination of employment and legal action. It is essential for protecting the Company's goodwill and maintaining its competitive position."

 

Employment Agreement:

This offer of employment is conditional upon your acceptance and understanding of your employment with Detail Cleaning Services is considered "at-will" employment. This means that either party has the right to terminate the employment relationship at any time, with or without cause, and with or without notice. However, it is expected that both parties will act in good faith and provide a 14-day notice prior to termination.

The duration of this agreement is at-will employment, starting from the date of acceptance. Regular performance evaluations will be conducted during this period to assess job performance and determine if any changes should be made to the roles, responsibilities, or compensation outlined in this contract. Any such changes will be documented through an addendum to this contract.

As a member of the Detail Cleaning Services team, it is expected that you will conduct yourself in a manner that is consistent with and promotes the values and image of the company.

After the initial term, this agreement will automatically renew for successive one-year terms unless either party provides notice of non-renewal at least 14 days prior to the end of the current term. During the year, any mutually agreed-upon changes to this contract, including roles, responsibilities, compensation, or other details, will be outlined through an addendum to this contract.

By executing this Agreement, the Parties confirm that they have carefully read, fully understand, and voluntarily agree to all of the terms and conditions outlined in this document. This Agreement may be executed in any number of counterparts, whether by facsimile, scanned, or digital signature, and all such counterparts shall be considered as one and the same agreement. The Parties agree that any and all forms of electronic signatures shall be considered legally binding and enforceable. By affixing their signature below, the Parties acknowledge that they are voluntarily entering into this Agreement and agree to abide by its terms and conditions.
